A plan lays a team's season out week by week: which program each group or athlete follows, when it starts and how long it runs. Every program you put on a plan is scheduled, so its workouts land on the calendar on their dates. This guide covers creating a plan, reading and filling the plan chart, copying plans and programs, and deleting them.
Creating a plan
Plans belong to one team. Open Plans in the team's sidebar to see the team's plans, newest start date first, and click a row (2) to open one.
Click New plan (1) and choose From scratch. The New plan panel slides out from the right.
Enter a Name. Add description opens a field for the plan's purpose.
Pick a Start date and an End date. A plan runs in whole weeks: the start snaps to a Sunday and the end to a Saturday, and a new plan can start this week or later, but not in a week that has already ended. The Duration readout counts the weeks; − and + move the end date a week at a time.
Click Create plan.
Creating, editing and deleting plans needs edit access to the team; other staff see plans read-only.
Build with Flex
New plan also offers With Flex, and an empty plan Design with Flex. Give Flex your dates and phases and it drafts the plan and its programs. See Flex.
Reading the plan
Add Program (1) in the header puts a program on the plan; see Adding programs below.
Week # (2) numbers the plan's own weeks: week 1 is the plan's first week, not a week of the calendar year. Click a number to open that week on the team's Calendar; the chevron beside Week # shows each day's date.
Name (3) holds a label for each week, such as "Preseason" or "Game week". Click the cell to open Week Details and set the Name and Description (meeting notes).
Each group or athlete on the plan gets a row (4), and each program a bar (5) across the weeks it runs, labeled with the program's name. Overlapping programs stack inside the row. Hover a bar for its dates, whether it is running now, upcoming or past, and its daily time. Past programs stay on the chart, faded and marked with a check. Click a bar to open it in the program builder.
The search and filter icons above the chart narrow the rows by athlete, group or program name.
Inactive groups & athletes above the chart hides or shows the rows with no current or upcoming program on this plan. While they're hidden, a note under the chart names them, and Show them brings them back. A search always finds them. Once the plan has ended, the header shows Ended and every row is inactive, so they're all shown.
Who appears on the plan
A group or athlete gets a row only once a program is scheduled for them in this plan. Groups come first, alphabetically, then individual athletes by last name; within a row, programs run in start-date order.
If an athlete on your roster isn't on the plan, check:
They follow a group's program. Athletes in a group get its programs through the group's row and have no row of their own. Check they're in the group on the Groups page.
Nothing is scheduled for them directly. Schedule a program for the athlete to give them a row.
The program is linked to an injury. Only staff with access to injury (PHI) information see those programs.
The search or filter is narrowing the chart. Clear it.
Their programs are all in the past. Turn on Inactive groups & athletes.
Adding programs
Click Add Program in the plan's header, pick the Starting week, then choose a source. The list opens on the current week; scroll up for earlier weeks of the plan.
From scratch builds an empty program right into the plan.
From your library copies a program you've already built. It appears only when your library has programs.
From FYTT copies a template from the FYTT library.
With Flex has Flex convert a program you already have (pasted text, a PDF, an image or a spreadsheet), or design one from your description, on the plan at that week; see Program with Flex.
Putting a program on a plan schedules it
There's no separate deploy step: once a program is on the plan, its workouts are on the calendar for the group or athlete it's for. A library program isn't scheduled until you add it to a plan.
New program
Under Schedule for (1), add every group and athlete the program is for.
Enter a Program name (2) and the Length in weeks (3). The program has to fit inside the plan from its starting week.
Optionally open Description, Start & end time (the workouts' Daily start time and Daily end time, 8 to 9 AM by default) or Facility. Each injured athlete you add gets an Injury · select with their name; pick the injury to record the program as an intervention (see Injuries). Only staff with access to injury (PHI) information see it.
Click Create program.
Each group and athlete gets a program of their own on the plan, so you can change or remove one without touching the others. An athlete in a group you also added is left out, since the group's program already reaches them. The programs are created together: if one can't be, none are, and the panel says why. They exist only inside this plan. Open each to add workouts; see Programs.
Program with Flex
Choose With Flex after picking the week, or click Import a program in a new Flex conversation while the plan is open. The New program with Flex panel opens.
Pick Convert (the default) at the top (1) to bring in a program you already have: under Program file, choose a spreadsheet (.xlsx, .csv), PDF or image (.png, .jpg) up to 20 MB, or paste the program under Paste program text. Or pick Describe and write what you want under Describe the program: who it's for, the goal, how many weeks and days a week.
Check Starting week (2): it's the week you picked in the menu, or the plan's current week when you came from Flex.
Under Schedule for (3), pick one group or one athlete.
Optionally open Start & end time to change the workouts' Daily start time and Daily end time.
Click Send to Flex. It stays greyed out until you've given Flex a file, some text or a description.
The program appears on the plan right away as a draft, at the starting week for the group or athlete you chose, and Flex builds it while you watch. Athletes see nothing until it's finished. A program Flex designs from your description stays a draft for you to review: save it from the program's page, or ask Flex to save it. A converted program is published when Flex finishes and its workouts are scheduled; in a draft plan it stays a draft, with its own Save to library unavailable, until you Activate the plan, which publishes all of its programs and makes them live. Nothing is added to your library. A spreadsheet that holds several programs, such as phases, goes on the plan back to back: each program starts the week after the one before it ends. If the program is longer than the weeks left in the plan, Flex builds what fits and tells you which weeks it left out; extend the plan and ask Flex to continue. If the import is stopped before anything is built, the draft comes off the plan. See "Import a program from a file" in Flex.
Existing program
Search for the Program (1) in your library.
Add every group and athlete it's for under Schedule for (2), and set Start & end time if you need to. Each injured athlete you add gets an Injury · select with their name; pick the injury to record the program as an intervention.
Click Add program.
Each group and athlete gets their own copy on the plan, so changing one doesn't touch the others or the library version. An athlete in a group you also added is left out. If any of them already has the program at that week, nothing is added and the panel names them; take them off and click Add program again. If a copy fails for anyone else, the Adding program dialog names them and the rest are still added.
Changing a program on the plan
Open the program from its bar and click Edit. Under Plan schedule, change the Start week to move the whole program to another week of the plan, or its Daily start and Daily end times. The workouts move with it on the calendar.
A program's place on the plan is its start week. Programs can overlap, and on the calendar each day's workouts are ordered by start time, so set daily times in the order you want them.
Edits to the library original reach the plan's copy only when the original has Keep plans in sync on, and they then replace any changes made to the copy here. See Programs.
Removing a program
Open the program from its bar, click Edit, then Delete program at the bottom of the panel, and confirm with Delete program. The program comes off the plan and its workouts come off the calendar.
Deleting removes the plan's copy for good
Every program on a plan is the plan's own copy, so deleting it deletes the program and its workouts, and it can't be undone. To keep it, open the program and click Save to library first.
Copying a plan
Open the plan and click Duplicate.
Under Copy plan to (1), pick this team or another team.
Change the Name if you want; it defaults to the plan's name with "(copy)".
Pick the Start date (2). The copy keeps the original's length, so its end date follows.
Click Duplicate plan. The copy brings its week names and every program.
Copying to another team brings the plan's groups and athletes too: groups it already has (matched by name) are reused, missing groups are copied, and athletes with their own row are added to its roster.
Copying one athlete's training to another
A plan has no tool to copy one week, or one athlete's row, to another athlete. To give a second athlete the same training:
Open the first athlete's program from its bar and click Save to library.
On the plan, click Add Program, pick the week, choose From your library, select the copy and set Schedule for to the second athlete.
Open the new program and remove the weeks or workouts you don't need.
If several athletes should always train the same way, put them in a group and schedule the program for the group instead.
Plans a transfer created
When athletes are transferred from another team with their training carried over, the transfer creates a published plan here holding a copy of each of their programs, assigned to each athlete on the dates they were already following (see "Transferring athletes" in Roster). In the plans list it reads Created by a transfer from the old team, with a Not reviewed yet badge. Open it to see who created it and when, and View transfer for the transfer's result. Check its programs against what your team is doing, change anything you like, then click Mark as reviewed; the plan then shows who reviewed it. It's an ordinary plan from then on: you can edit, unpublish or delete it.
Importing a season schedule
Plans can't be imported from a file. To build one from your season schedule, open Flex, click Attach a file (or paste the dates) and ask it to design a plan around the schedule. Flex drafts the plan, labels the weeks and fills in its programs; you review the draft and click Activate. See Flex.
Deleting a plan
Open the plan, click Edit, then Delete plan (2), and confirm. To delete several, tick them on the Plans list, click Delete and confirm with Delete plans.
Deleting a plan deletes every program, week and note in it, and can't be undone. The same panel changes the name and dates; the End date (1) can't move before the last program ends.
