Keep dated notes on athletes for your coaching staff

Notes are dated, free-form entries you keep on an athlete: an observation from practice, a reminder for the next session, or anything else the rest of your staff should know. This guide covers writing notes from the roster and from an athlete's profile, where notes show up, and who can read them.

The roster's Notes view is built for quick logging after a session: one row per athlete, so you can move down the team without opening each profile. On the Roster, switch View as to Notes.

  1. Type in an athlete's Notes cell. It saves as soon as you leave the cell.

  2. To log for part of the team, open the filter (2), tick one or more groups under Group, and click Apply. The sheet shows the athletes in any of the groups you picked.

The sheet lists only athletes whose status is Active. Athletes marked Limited, Rehab, Return to play, or any other status, and athletes who haven't activated their account, don't appear here; write their notes from their profile.

As the banner (1) says, a note added here is written against today's date. Each athlete has one roster note per day, so typing in a cell that already has text replaces that day's note, and clearing a cell deletes it. There's no date picker in this view: to write a note for another day, or to add formatting or tags, use the athlete's profile instead.

Writing a note on an athlete profile

Open an athlete from the roster. The Notes panel on their athlete profile lists their notes newest first, each with its date, who wrote it, the first two lines, and any tags. It shows the notes inside the date range picked for the profile.

To add one, click Write a note (the plus in the panel's header), or click Record at the top of the profile and choose Note. Either way a new note dated today opens in a panel on the right. A reminder at the top (1) says who can read it. Below it (2) you fill in:

  • Note — the text, with bold, lists, and links.

  • Tags — type a tag and press Enter to create it. Tags are shared across your account, so every team sees the same list.

  • Date — change it to back-date the note.

There's no Save button: Changes save as you type, and the top of the panel shows Saving…, then Saved just now. If it shows Couldn't save — retry, click it to try again.

The note is created as soon as you open the editor, so closing it without typing leaves an Empty note on the panel. To remove any note, click it in the Notes panel, click Delete, and confirm with Delete note.

Deleting a note can't be undone

A deleted note and its tags are removed for everyone on the team, and there's no way to get them back.

Notes in group reports

There are no group-level notes; every note belongs to one athlete. To read notes across a group, open a group report and choose Add Column › Notes. The column lists each athlete's notes inside the report's date range.

Who can see notes

Notes are staff-only

Athletes never see notes, not even on a report shared with them. Every coach and staff member on the athlete's team can read them, so keep injuries and health information out of a note and record them as an injury instead, where only staff with health-information access can see them.

  • Coaches and athletic trainers can read, write, edit, and delete notes for athletes on their teams. A note isn't tied to the team it was written on: coaches on any of the athlete's teams see it.

  • Observers can read notes on the athlete profile but can't write or open them, and don't have the roster's Notes view.

  • Organization managers can read and write notes for every athlete in the organization.
