Groups

Organize athletes into training groups for programming and analysis

Written by Todd Miller

Groups split a team's roster into the squads, position units and training cohorts you program for — Varsity, a speed group, a rehab caseload. This guide covers creating and editing groups, adding and removing athletes, and how groups decide what each athlete trains.

The Groups tab on the roster

Manage groups with Flex

You can ask Flex to create a group, list your groups, or add and remove athletes instead of doing it by hand. See the Flex guide for more.

Creating groups

Groups live on the Roster. Open the roster, click the Groups tab (1), then click Create group (2). The New group panel slides out from the right; fill it in and click Create group at the bottom.

The Groups tab lists every group with its color, its number of Athletes, and its Tags. Click a group's row to open the Edit group panel, change what you need, and click Save. Creating, editing and deleting groups needs edit access to the team.

Group settings

The Edit group panel

  • Name (1) — required; shown wherever the group appears in the app.

  • Color — the swatch beside the name, used to pick the group out in lists.

  • Add tags — opens a Tags field. Pick an existing tag or type a new one.

  • Add description — opens a Description field to note who the group is for.

  • Show on roster — lists the group on the team's roster: in each athlete's Groups column and in the roster's Group filter. Turn it off for groups you use only behind the scenes.

  • Athletes (2) — who's in the group; see below.

The default group

Every team has a default group, named Team unless you rename it, marked Default in the list. Every athlete joins it when they join the team. You can remove athletes from it and edit its settings, but you can't delete it.

Adding and removing athletes

From the group panel

  1. On the Groups tab, click the group's row.

  2. Click the Athletes card in the panel.

  3. Tick the athletes you want in the group (1) and untick the ones you want out. Search by name, or use the All, In group and Not in group chips to narrow the list. Each athlete's other groups show under their name.

  4. Click Done (2) to go back to the panel.

  5. Click Save.

Nothing changes until you save; the panel shows how many athletes you've added and removed, and Undo puts the list back.

Picking athletes for a group

From the roster

To change the groups of several athletes at once, tick them on the roster's Athletes tab and click Edit groups in the bulk actions bar (see Roster). The Edit groups panel lists the team's groups, with the default group last. Groups turned off with Show on roster aren't listed and never change.

The Edit groups panel for three selected athletes

Each group's checkbox shows where the selected athletes stand in it: ticked when they're all in it, a dash when only some are, such as "2 of 3 athletes" (1), and empty when none are. The default group (2) works like any other.

  1. Click a group's row to tick it (add every selected athlete) or untick it (take them all out). A row that started with a dash cycles back to it, so you can leave it as it was.

  2. Optionally, choose who coaches the selected athletes in that group from its Coach menu (3); see Coaches on a group.

  3. Check the summary above the buttons, then click the apply button. It counts your changes, such as Apply 2 changes.

Only the groups you change are saved. Groups you don't touch, including ones with a dash, stay exactly as they are.

Staged changes and the summary of what Apply will do

A changed row shows what it was and what it will be, such as "Was 2 of 3 → now all 3" (1), and its Undo button (2) puts it back. Reset undoes every change. The summary (3) lists what Apply will do, such as "Remove 2 from Speed Development" or "Add 1 to Varsity · no coach (2 are already in it)", and the apply button (4) saves them. Cancel, the close button, Esc or a click outside the panel discards everything you staged.

With more than 12 groups, a Find a group search box appears at the top of the panel.

Moving an athlete into a subgroup

Adding an athlete to a group doesn't take them out of any other group, and everyone stays in the default group unless you remove them. To move athletes from one group to another, tick them on the roster, click Edit groups, untick the old group, tick the new one, and apply the two changes together. You can also open each group's panel and tick or untick them there.

Coaches on a group

Each membership can name the coach who looks after that athlete within the group. In Edit groups, each group's Coach menu offers:

  • Keep current coaches — the default; nobody's coach changes. Athletes you add to the group join with no coach.

  • A coach's name — sets that coach for every selected athlete who'll be in the group.

  • No coach — clears the coach for them.

The Coach column appears only when the team has coaches. You can also set an athlete's coach in each group from their profile; see Athlete profiles. The roster's Groups column shows the coach's initials on each group badge, and the Coach filter narrows the roster to one coach's athletes.

Tagging groups

Tags sort groups by season, sport, or any convention you use. Set them on one group from its panel, or tick several groups on the Groups tab, click Tag, enter the tags, and click Add tags or Remove tags.

How groups drive programming

Assign a program to a group and every athlete in it receives the workouts; athletes who join the group later pick them up too, and athletes you remove stop receiving them. Inside one program, blocks can be limited to certain groups so each group follows its own work — see Programs. To lay out several groups' programs across a season, use Plans. Group reports compare the athletes in a group, too.

Deleting groups

On the Groups tab, tick the groups, click Delete, and confirm in the Delete these groups? dialog. The default group has no checkbox, so it can't be selected.

The Delete these groups? confirmation

Deleting a group can't be undone

Deleting a group removes its memberships, the workouts and programs assigned to it, and its workout history. Group reports built on it move to the team's default group.
